We are looking for an operational HR & Payroll Specialist for a rapidly growing international industrial group. You will be a key player in day-to-day HR services and will work closely with the operations organization in several countries.

About the roles

This is a hands-on role with an emphasis on operational HR work, administration, agreements, personnel matters, and executive support. You will serve as the primary HR contact for the organization and support managers in everything from employment terms to labor law, interpretation of collective agreements, personnel administration, and follow-up.

  • At the same time, you will be responsible for quality assurance of payroll documentation and setting requirements for external payroll partners. This role is suitable for someone who enjoys administrative workflows and is confident in guiding managers in operational HR issues. Travel is required, approximately 20 days/year.

Your operational HR tasks

Management support & personnel matters

  • Be the first point of contact for operational managers in matters relating to employment, labor law, working hours, benefits, and collective agreements.
  • Support managers in labor law matters, negotiations (and in handling personnel matters)
  • Ensure that managers comply with agreements and guidelines and provide concrete advice in everyday situations
  • Draw up employment contracts, handle introductions, and administer employment changes

Personnel administration

  • Manage HRM systems and handle pensions, insurance, and benefits
  • Support operations in the administration of schedules, shift models, and working time issues
  • Manage personnel administration, including for international units (Poland, Belgium)

Collective agreements & labor law

  • Apply and interpret Swedish and Finnish collective agreements for collective employees and white-collar workers in industry and Swedish commerce.
  • Be an internal expert on contract interpretation and answer questions from both managers and employees
  • Participate in and sometimes lead negotiations (e.g., salary reviews)

Payroll processes (operational and quality assurance)

  • Ensure that all documentation is correct before running payroll
  • Submit time, absences, travel, expenses, and benefit documentation to external payroll partner
  • Review and approve salaries for Sweden, Finland, Poland, and Belgium
  • Coordinate and administer salary reviews and salary surveys
  • Work closely with the payroll provider and drive improvements in processes and procedures

Experience from an industrial environment or similar operational organizations is an advantage.

Qualifications

  • At least 5 years of experience with payroll and collective agreements
  • Experience in operational HR work (and management support)
  • Good system skills, especially in HR and payroll systems
  • Very good spoken and written Swedish and English

Meritorious

  • Experience of Finnish collective agreements
  • Flex HRM, SAP, Qlik
  • Experience from industrial operations
