This policy replaces previous Board-approved policies on HRM's handling of personal data

Below you will find information on what data about you HRM processes, for what purposes, the legal basis for the processing, how long the data is stored and your rights.

1. Whose data do we process?

Candidates and consultants - People with whom we are in contact regarding assignments with us or with our clients. This group includes those who have actively applied for a position or assignment, those who have registered in our candidate bank without having applied for a specific position or assignment, those who have visited our website and taken part in our services and assignments and finally the potential candidates and consultants that we have discovered through outreach activities/search.

Furthermore, the HRM needs to carefully assess and ensure that the data subject's personal data is relevant and appropriate for the positions they have applied for.

 
2. What do we use your personal data for?

     

      • Processes your application for vacancies, which means that we may evaluate your competencies - both professional, talent and personality. In some assignments we conduct interviews, tests and reference checks etc.

      • Ongoing communication about the assignments you applied for via HRM.

      • Offer you assignments, related to your preferences and/or your competences and to provide you with personalized offers, information or invitations that we consider interesting for you via email, digital and/or social media.

     
    3. What personal data may we collect?

       

        • Name

        • Contact details

        • Notes after a conversation or interview

        • Notes after reference calls

        • Skills and previous experience acquired through your CV, your LinkedIn profile (if you registered your application through this channel), through interview and based on the knowledge and experience you registered

        • Test results, if you performed tests as a step in our recruitment and/or assignment process

        • Photograph, if you have included one in your CV

        • Year of birth

        • In some cases, in connection with a recruitment and/or assignment process, we may conduct a background check on you. This background check includes information about your income, education, cases with the tax authorities and the Swedish Enforcement Authority, company involvement, driving license, court cases and any convictions. You will be asked to give your explicit consent before we collect this information. Please note that the above information is not stored by us.

        • Other personal data you choose to share with HRM in your CV and any other uploaded documents*

      * HRM discourages you from providing us with sensitive personal data concerning ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, data concerning health and data concerning sex. We therefore reserve the right to delete any of the above data, as well as personal data relating to persons other than yourself, without your consent.

       
      4. How have we collected your personal data?

         

          • We have received the information from you when you applied for a job and when you registered in our candidate bank.

          • We have collected the data from other external sources - such as referees, customers and job boards

          • We have collected the data via LinkedIn, Facebook, Instagram or other social media by you commenting on something or asking us questions over these media.

          • We have collected the data when you have emailed, posted, called us on a matter or provided contact information in, for example, a survey we conducted in which you participated.

         
        5. with whom do we share the information?

        We work with various forms of matching in the labor market, which means that we may share your data with our customers and clients when filling their requested positions. You will always be informed before we share information about you as a person.

        We share your personal data with third-party service providers we engage to perform services on our behalf (such as technical, administrative, marketing or other services) when required for the

        purposes mentioned above. These third-party providers are not allowed to use your personal data for their own purposes, which we have regulated in agreements with these providers.

        Your personal data may also be disclosed when required by law such as the Discrimination Act or to the Data Protection Authority.

         
        6. What rights do you have?

        Erasure of personal data

        If you have registered your profile in HRM's candidate bank, either in connection with applying for an assignment through us or if you registered yourself to be searchable for future matching on the labor market, you can delete your profile at any time by contacting us. You can do this by contacting us at personuppgifter@hrmab.se and requesting that we delete your profile and personal data. When your profile is deleted, it disappears completely as well as all information about you in our systems.

        Please note that that there is an exception to complete deletion. If you applied for a position or assignment through us at HRM, we need to keep your application documents for 24 months after the end of the recruitment and/or assignment process with reference to the Discrimination Act. In case of termination of consent, we will keep your data for two years from your last application date as evidence of a fair recruitment and/or assignment process, in accordance with the recommendations and directives of the Discrimination Ombudsman, after which your personal data will be anonymized and all data that identifies you will be deleted.

        Right to object

        You have the right to object to our use of your personal data, for example, you can contact us and not want to receive match emails or newsletters from us.

        Rectification of personal data

        You have the right to request that we correct or delete data that is incorrect or incomplete. You can do this by contacting us.

        Access to your personal data - register extracts

        You have the right to access the categories of personal data we process that concern you, via a register extract. Register extracts are free of charge on one occasion per year, if you want Register extracts more than once during the same year, we charge an administrative fee of SEK 395 per occasion.

         
        7. How long do we keep the information?

        As long as you do not object in writing to our processing of your personal data, the personal data will be stored and processed by us for as long as we deem it necessary for the purposes stated above. Please note that a candidate/consultant profile may be of interest for future assignments and for this purpose we may store your personal data as long as they are deemed interesting for new potential assignments.

        If you contact us and ask for your data to be deleted, we will do so unless we are legally obliged to keep the information. See exceptions described in point 5 above.

        We reserve the right to delete a candidate/consultant profile if we consider it to be misused in any way. This may include the candidate/consultant profile being created for purposes other than applying for jobs and/or being included in our candidate bank, or if the candidate/consultant profile has in any way made threats against our staff or otherwise behaved inappropriately.

         
        8. About cookies

        As you navigate the website, information about your use will be stored through cookies. Cookies are passive text files that are stored by the browser on your device, such as its computer, mobile or tablet, during navigation. We use cookies to facilitate your use of our services and to collect information such as statistics on how you found us. This is done to ensure, maintain and improve our site and services. If you do not want to accept cookies, you can turn off cookies via your browser's security settings or refuse cookies. However, this means that www.hrmab.se will not function as intended.

         
        9. Amendments to this policy

        HRM reserves the right to revise this policy. If we make any changes to the policy, we will publish the updated policy on our website www.hrmab.se.

        You are thus advised to read this GDPR and Privacy Policy regularly to be aware of any changes. If we change our GDPR and Privacy Policy in a way that is materially different from what was indicated when your consent was collected, we will notify you of these changes and, if necessary, ask you to re-consent to our processing of personal data.

          11. supervisory authority

          If you believe that HSY has in any way violated our handling of your personal data, you can report this to the Data Inspectorate. They are the supervisory authority over personal data processing and data protection.
